Due to the upcoming retirement of our valued colleague, we are looking for a motivated and meticulous Management Assistant.
Your Contribution As a Management Assistant, you will provide direct support to our CEO. You will play a key role in ensuring the smooth running of their daily activities and act as a reliable and discreet sparring partner. You will have insight into strategic processes, manage calendars, organize international travel, and prepare meetings.
You are professional and presentable. In this role, you are the eyes and ears of the CEO within the organization: you observe, connect, and communicate with tact and a strong sense of interpersonal dynamics. You switch effortlessly between formal board meetings and informal interactions, and you feel at ease in an international environment.
Specifically, your main tasks include :
- Managing the CEO’s calendar
- Monitoring the CEO’s email inbox
- Receiving and handling incoming mail and phone calls
- Drafting business correspondence and emails on behalf of the Executive Committee
- Supporting the creation of presentations and internal communications
- Preparing and taking minutes of meetings (Executive Committee, Audit Committee, Supervisory Board, Association Board)
- Organizing international business trips and hotel bookings
- Acting as a liaison between the executive team and the organization
- Coordinating internal and external events, meetings, and celebrations
Your Profile You are an experienced professional who thrives on supporting management in an international context. You understand the dynamics of an executive office and know how to bring calm and structure to a busy schedule. With your discretion, organizational talent, and social awareness, you are a trusted sparring partner for the CEO. You switch effortlessly between formal meetings and informal interactions, and you know exactly when to be visible and when to remain in the background. You have a genuine interest in people and are naturally service-oriented: you organize, connect, and provide support.
Additionally, you have:
- A higher professional education (HBO) level and experience in executive support
- Excellent command of Dutch and English
- Proficiency in additional languages is a plus
- Strong organizational and communication skills
- Discretion, reliability, and professionalism in handling confidential information
- A presentable and hospitable demeanor, with a keen eye for detail
- A proactive, independent, and stress-resistant attitude
- Proficiency in MS Office (Word, PowerPoint, Excel) and platforms such as SharePoint and Microsoft Teams
- Comfort working in an international environment
- A flexible mindset and an accurate working style
- Strong communication skills and a collaborative spirit
